Who uses the system?
The e-Submission system provides a means for issuers and their representatives (e.g. financial advisers, legal advisers and printers) to submit documents to the Exchange via the Internet. All documents to be published on the HKEXnews website or GEM website must be submitted through the e-Submission System. Only registered staff of registered entities may use the e-Submission System, which currently is free of charge.

In the case of an issuer or other company, the registration forms and letter of acceptance of the terms and conditions must be signed by a director or other person duly authorised by the issuer or company. In the case of an entity which is not an issuer or other company (such as partner of a legal firm), they must be signed by a person duly authorised by the entity. Please submit the printed completed forms duly signed, a diskette or CD containing the completed forms, a copy of the board resolution (or equivalent document) authorising such director or other person and the letter of acceptance to:

HKEX will take the following steps to complete the registration process:
- check the completeness of the data
- create the company record in the computer system
- create the user login accounts
- generate a set of security passwords for publication purposes (for issuers only)
- mail the details to the company (including, in the case of issuers, the security passwords for publication purposes)
Immediately after receiving the notification, each registered user is recommended to log onto the account provided and reset the user password. The relevant e-Submission System user manual and quick reference guides are available on the e-Submission website.
The issuer must immediately acknowledge receipt of the security passwords for publication purposes and return the acknowledgement letter to HKEX by facsimile to 2523 1254. Upon receipt of such letter, HKEX will activate the passwords.
Change/Add of Authorised Person
For change of Authorised Person and/or addition of the secondary Authorised Person, to receive passwords and for subsequent registration matters, please complete the following form and return to the HKEX office at 11th Floor, Two Exchange Square, 8 Connaught Place, Central, Hong Kong (attention: Primary Market Information, Listing Department).
Please note that, while HKEX will accept request of subsequent e-Submission registration matters made by either the primary or the secondary Authorised Person, HKEX will only mail passwords to the primary Authorised Person.
